This Privacy Policy (“Policy”) explains how your information is collected, used and disclosed by LandingAI (“we” / “us” / “our”). This Policy applies where we are acting as a Data Controller, where we determine the purposes and means of the processing of that personal data, for example with respect to the personal data of our website visitors, service users, clients, partners etc.

 

When using the Service, you agree to this Policy and our Terms of Service (including our Acceptable Use Requirements). Some of the data collection and uses described in this Policy are required in order for you to be able to use the Service. Our basis for that collection and use is to be able to provide the Service to you. If you do not agree, you may not use the Service. Some of the data collection and use described in this Policy are optional, and our basis for that collection and use is your consent. We will store and process your data in order to allow us to provide our products and services. This includes: 

  • Authenticating users and managing accounts.
  • Enabling you to use the features of our products, such as analyzing documents and images you provide.
    • Providing and improving the services and products that LandingAI provides.
    • Monitoring the security and integrity of our platform by analyzing audit logs to detect suspicious behavior and investigate potential threats.
  • To contact you about your use of the Services. This includes (at our discretion) changes to any of the Services and/or any of the Services' policies
  • Processing financial information for billing and account management.
  • For internal business purposes.

What will happen if I contact you?

If you contact us, we will use your data to send you the information that you have requested and updates, and other information that we think you will be interested in. This may include a range of related products and services. 

What data will be stored?

We will store your personal details in order to provide our services and run our company. This includes personal data that you provide and personal data received as a result of your use of our services.

    • Account information including your name, contact information, account credentials, payment information, and transaction history
    • Communications:  Personal data from communications with us via email, our pages or community support which may include your name, contact information, and the contents of the messages you send.

  • Personal Data We Receive from Your Use of the Services: When you visit, use, or interact with the Services, we receive the following information about your visit, use, or interactions (“Technical Information”):

  • Usage Data: We collect information about your use of the Services, such as the types of content that you view or engage with, the features you use and the actions you take, as well as your time zone, country, the dates and times of access, user agent and version, type of computer or mobile device, and your computer connection.
  • Device Information: We collect information about the device you use to access the Services, such as the name of the device, operating system, device identifiers, and browser you are using. Information collected may depend on the type of device you use and its settings.
  • Location Information: We may determine the general area from which your device accesses our Services based on information like its IP address for security reasons and to make your product experience better, for example to protect your account by detecting unusual login activity or to provide more accurate responses. In addition, some of our Services allow you to choose to provide more precise location information from your device, such as location information from your device’s GPS.

If you use our Services without creating an account, we may store some of the information described in this policy with cookies, for example to help maintain your preferences across browsing sessions.   • Additional information we may store will be governed by the specific Standard or Enterprise Terms of Service applicable to your subscription and may include:
    • User-Generated Content: For example, any documents, images, prompts, and other data you upload or submit when using our services.
    • Technical and Usage Data: We may collect information about how you interact with our services. Our systems maintain a comprehensive record of critical user and system activity in our audit logs.
    • Protected Health Information (PHI): For customers who elect our Zero Data Retention (ZDR) option and have a Business Associate Agreement (BAA) in place, our services can be used to process PHI. However, this data is processed in-memory and is never stored on our systems.

What data will be shared?

We will not share your data with any third parties other than as described here, to fulfill our obligations to you, operate and develop our company, and to protect our interests. We will only share any data that is particularly relevant to our process in order to provide the services that we offer. We may share your information with regulators or legal bodies that request it. 

How long?

LandingAI retains data collected as a Controller only as long as needed to provide our services and to meet its operational, contractual, regulatory requirements or other legitimate business purposes which may include resolving disputes, safety and security reasons, or complying with our legal obligations. How long we retain Personal Data will depend on a number of factors, such as:

  • Our purpose for processing the data (such as whether we need to retain the data to provide our Services);
  • The amount, nature, and sensitivity of the information;
  • The potential risk of harm from unauthorized use or disclosure;
  • Any legal requirements that we are subject to.

With respect to customer data that is processed, the length of time we store your data depends on the services you use and the terms of your agreement with us. For avoidance of doubt, data classified as “restricted” or “confidential” shall be securely deleted or archived at the earliest opportunity once no longer needed. For some products, such as Agentic Documentation Extraction with the Zero Data Retention option, customer data is ephemeral and is not retained after processing. For other customers, data retention periods are governed by your specific Enterprise Terms of Service or our standard Terms of Service. For more information, please refer to the terms applicable to your account.

Who can access my data?

We will never sell, share or otherwise distribute your data to any other third party other than as described here. Access to your data is carefully controlled.

How is my data kept secure?

We will store your data on secure servers. We use industry-standard security protocols/technology to secure your data.

When the ZDR option is enabled, data is processed ephemerally and is not stored on our systems.

We may collect and process information about you, including your name, last name contact details (including email address and mobile phone number), authentication credentials, profile information, technical and usage data from system audit logs. We primarily collect this information directly from you when you register for an account or use our services. We may also receive your information from third-party identity providers if you choose to log in using Single Sign-On (SSO).

We will use your data for the purpose it was collected. Where we have your consent or another lawful basis, we may also use your personal information to send you marketing communications about services, promotions, and offers that may be of interest to you. This document explains how you can manage your communication preferences. Please note that, even if you opt out of marketing communications, we may still send you important service-related messages, including those necessary for the provision of any services we offer you. You will only receive marketing communications from us if:

  • You requested information from us
  • You provided us with your details and ticked the box at the point of entry of your details for us to send you marketing communications
  • You have not opted out of receiving marketing

We operate in line with the GDPR data protection guidelines. You have the right to amend or withdraw your consent at any time, including opting out of marketing communications or the processing of financial data. You can also object to the processing of your data and request its deletion. We respect all user rights as defined in the GDPR. How we store and process your data

Your data will be collected, stored and processed securely. In the case where we transfer your data internationally, we will ensure we take appropriate precautions to protect this data. Your data will normally be stored for up to 7 years in order to meet our legal obligations and protect our interests.

We will only use your personal data for the purposes for which it was collected unless we reasonably believe that another use is necessary and compatible with the original purpose. If you would like more information about the compatibility of a new purpose with the original purpose, please contact us. If we need to use your personal data for an unrelated purpose, we will notify you and explain the legal basis for doing so.

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive, or excessive. Alternatively, we may refuse to comply with your request in these circumstances.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

We aim to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

Third Parties

We may have to share your personal data with selected third parties in order to meet our obligations to you and for the purposes described in this document:

  • Service providers who provide IT and system administration services;
  • Third parties including data processors, suppliers, service providers, equipment providers, and other third parties as required to run and grow our business;

  • Social media platforms, for the purpose of publishing customer testimonials, which may include personal information such as  name, title and company, only after we have obtained their explicit consent;

  • Partners and other organisations involved in the provision of our services to you and as required to operate our company;
  • Government organisation, regulators, other legal authorities and other relevant jurisdictions who require reporting of processing activities in certain circumstances;
  • Third parties to whom we sell, transfer, or merge parts of our business or our assets;
  • Other companies that are required to meet our obligations to you and run our business.

We require all third parties to whom we transfer your data to respect the security of your personal data and to treat it in accordance with the law. We only allow such third parties to process your personal data for specified purposes and in accordance with our instructions. 

Security

We have implemented appropriate security measures to protect your personal data from accidental loss, unauthorized access, use, alteration, or disclosure. Access to your data is restricted to employees, agents, contractors, and third parties who have a legitimate business need to know. They are authorized to process your data only under our instructions and are bound by confidentiality obligations. 

In compliance with GDPR requirements, we will report any data breaches or potential breaches to the relevant authorities within 24 hours of becoming aware of them, and to affected individuals within 72 hours. If you have any questions or concerns regarding your data usage, please contact us.

Our website may contain links to third-party websites, plug-ins, and applications. Interacting with these links or connections may enable third parties to collect or share your data. We have no control over these third-party websites and are not responsible for their privacy practices. We encourage you to review the privacy policy of each website you visit after leaving our site.

Cookies

A cookie is a small file that asks permission to be placed on your computer’s hard drive. Once you agree, the file is added, and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences. We use traffic log cookies to identify which pages are being used. This helps us analyse data about webpage traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

Overall, cookies help us provide you with a better website by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.
