Extracting data from auto declarations pages

Insurers issue a declarations page with every personal and business auto policy and every renewal, each on the carrier's own form. Lenders verify one for every financed vehicle, and underwriters ask for one to prove prior insurance. They arrive by fax and email, or through upload portals.

A lender needs the policy period, each vehicle's VIN, the comprehensive and collision deductibles and the lienholder on the policy. Its insurance tracking system matches those against the loan record, and flags a lapse before the lender places collateral protection insurance.

The problem

What makes auto declarations pages hard

Preprinted rows for every coverage

Many carrier forms preprint each coverage on offer, so the purchased lines sit among rows left blank or marked with a bare dollar sign.

Liability limits use two notations

One page prints 100/300/100, three separate caps in thousands of dollars. Another prints a single combined limit for each accident.

Every carrier names the lender differently

One carrier labels the lender a lienholder, another a loss payee or an additional interest, and each prints it in its own place.

How it works

Parse, extract, verify

1

Parse

Parse turns the document into reading-order Markdown and a hierarchy of blocks (text, tables, figures), and grounds each block to its exact location on the page.

2

Extract

You define the fields in a JSON schema, and Extract returns their values in a consistent, structured format, each linked back to where it appears in the Markdown.

3

Verify

Each value links back to where it appears, down to the character range in the Markdown, and the page and bounding box in the source document, so every result can be verified.

Worked example

One auto policy declarations page, end to end

About this document: A Business Auto Coverage Declarations page from National Indemnity Company, issued to a limousine and party-bus operator. The Pennsylvania Public Utility Commission posts it as the operator's proof of insurance. It is one portrait page, scanned slightly skewed. Its coverage schedule prices liability and physical damage cover, with a premium against each line.

Processing objective: The objective is to read what the policy buys over its term, and at what price. Liability here is a combined single limit: one figure for bodily injury and property damage in each accident. The estimated total premium sits beneath the charge for endorsements.

Demonstration fields: Policy period from, Policy period to, Liability limit, Liability premium, Estimated total premium

Documents into data

Accurate

The best accuracy on the difficult documents other tools get wrong, such as messy scans, complicated tables, checkboxes and handwriting.

Auditable

Every answer cites its sources. Values come back with an audit trail (page, bounding box, character range) so a human can review them.

Agentic

Applies multi-step reasoning, and plans before it acts. Handles documents it has never seen before and adapts to variations.

API-first

Composable APIs that drop into any tech stack and can be called from anywhere. Easy to build on and embed in your pipelines and products.

Affordable

Cost-competitive rates with complete price transparency. Spend controls before you run, and every job reports its exact cost.

Enterprise-grade

Built for production and scale from day one. Fully observable and monitored, running securely in our cloud or yours.

Built for high-volume, high-throughput production

  • Zero data retention
  • Priority rate limits
  • Enhanced support
  • VPC and on-prem deployment

Available on Team and Enterprise plans. VPC and on-prem deployment require an Enterprise plan.

FAQs

Questions, answered

Yes. Define the coverages as an array in your schema, with the coverage name, limit and premium. Each row returns as its own entry, including rows whose limit refers to an endorsement by its form number.

No. A schema describes each field by meaning, and one schema covers every carrier's layout. The x-alternativeNames keyword maps differing labels to one field: a lienholder and a loss payee resolve to the same lender field.

Yes. DPT-3 Pro, the default parse model, is the recommended model for scanned documents, and Parse accepts faxed TIFF files as well as PDFs. A skewed scan still returns each limit and premium grounded to its own cell.

Each extracted value carries the character range it was quoted from in the parsed Markdown. The Ground API turns that range into a page and a bounding box, so a reviewer can check a deductible against the cell that printed it.

A declarations page carries the insured's name and address, and often driver names and VINs. Accounts are available with zero data retention, which deletes results once you retrieve them, alongside SOC 2 Type II, GDPR and HIPAA compliance.
