Extracting data from motor vehicle reports

Each state's motor vehicle agency issues its own driving record abstract, with its own layout and codes. Auto insurers order one for every driver on a new policy, and motor carriers review each commercial driver's record at least once a year. They arrive as PDFs from state portals or screening vendors.

Underwriting needs the license status, each suspension, and every conviction with its violation date, conviction date and points. A rating engine applies surcharges from those convictions, and a fleet's driver qualification file records them against the carrier's safety policy.

The problem

What makes motor vehicle reports hard

Every state prints its own abstract

Each state agency sets its own layout and violation codes, so the same stop sign conviction reads differently from state to state.

Events stack as record blocks

Events print as stacked label and value grids, one per conviction or suspension, and each grid is a single record.

Identification repeats on every page

Abstracts reprint the driver's identification header at the top of each page, above whichever part of the record that page continues.

How it works

Parse, extract, verify

1

Parse

Parse turns the document into reading-order Markdown and a hierarchy of blocks (text, tables, figures), and grounds each block to its exact location on the page.

2

Extract

You define the fields in a JSON schema, and Extract returns their values in a consistent, structured format, each linked back to where it appears in the Markdown.

3

Verify

Each value links back to where it appears, down to the character range in the Markdown, and the page and bounding box in the source document, so every result can be verified.

Worked example

One motor vehicle report, end to end

About this document: A sample standard abstract of a driving record, published by the New York State Department of Motor Vehicles to show what an abstract contains. Six portrait image pages under a diagonal SAMPLE watermark: status and credentials, suspensions, convictions, crashes and address history. Page 5 is featured. The specimen motorist's name and mailing addresses were replaced with stand-ins.

Processing objective: The objective is to read one conviction as a complete event. It records when the violation happened, when the driver was convicted, what the violation was, where it was heard and how many points it added. Each value grounds to the line of the conviction block that prints it.

Demonstration fields: Violation date, Conviction date, Violation, Court location, Points assessed

Documents into data

Accurate

The best accuracy on the difficult documents other tools get wrong, such as messy scans, complicated tables, checkboxes and handwriting.

Auditable

Every answer cites its sources. Values come back with an audit trail (page, bounding box, character range) so a human can review them.

Agentic

Applies multi-step reasoning, and plans before it acts. Handles documents it has never seen before and adapts to variations.

API-first

Composable APIs that drop into any tech stack and can be called from anywhere. Easy to build on and embed in your pipelines and products.

Affordable

Cost-competitive rates with complete price transparency. Spend controls before you run, and every job reports its exact cost.

Enterprise-grade

Built for production and scale from day one. Fully observable and monitored, running securely in our cloud or yours.

Built for high-volume, high-throughput production

  • Zero data retention
  • Priority rate limits
  • Enhanced support
  • VPC and on-prem deployment

Available on Team and Enterprise plans. VPC and on-prem deployment require an Enterprise plan.

FAQs

Questions, answered

Yes. Define the convictions as an array in your schema. Each conviction comes back as its own entry with its violation, its dates and its points, for as many as the record lists.

Yes. Section headings are part of the parsed structure, so each record comes back in the array for the section it sits under. Two sections that share one block layout still return separate records.

No. A schema names the fields you want and describes them in plain language. Extraction reads the parsed abstract for meaning, so one schema covers each state's own layout and section names.

Yes. Dates come back in ISO form, year first, while grounding still points at the date as the state printed it. A reviewer sees the original string beside the normalized value.

Every extracted value carries the character ranges it was quoted from in the parsed Markdown, one for each place it prints. The Ground API maps each range to a page and a bounding box, so a header value repeated on every page carries every location.
